How to Use AI in Your Business: Practical Use Cases by Department and Where to Start
Published · By the PRO TECHnology AI Solutions team
The question we hear most is simple: how can I optimise my business using AI? Start by finding the work that repeats. This guide lists practical uses in every department, shows how to pick the first one and gives you a 90-day plan you can start this month.
Most small firms that use generative AI use it to write: emails, posts and product descriptions. That helps, but it barely touches the work that costs the most time, the calls, messages, follow-ups, checks and data entry that repeat all day in every department. An OECD survey of more than 5,000 small and medium-sized firms in seven countries, published in November 2025, found that 31% used generative AI, mostly for text, and that only a minority used it in their core business activities.
This guide is for owners and managers in the UAE who want to move past drafting. We put these use cases to work across the country together with xAIa, the PRO TECHnology Group’s AI consultancy and implementation arm. Where UAE rules apply we say so, because some of the most tempting ideas, such as calling at scale, are regulated here.

Key takeaways
- Start with the work, not the tool. Look for tasks that happen many times a day, follow the same steps and end in a result you can count.
- An AI employee is an AI agent with one defined job, access to the systems it needs, approved answers and clear rules for handing over to a person.
- Score each idea on volume, repetition, written rules, risk if wrong, data access and a measurable outcome. Then check it against the law, a named team for handovers and one accountable owner.
- Good first projects are low-risk and easy to count: after-hours calls, WhatsApp questions, appointment confirmations, cash-on-delivery checks and payment reminders to business customers.
- You can call at scale with AI in the UAE when you call your own pipeline: people who enquired or opted in. Dubai’s rules bar brokers from cold-calling property owners, whether a person or an AI dials.
AI employees explained: what they are and what they are not
An AI employee is an AI agent given one defined job. It has access to the systems that job needs, such as your phone line, WhatsApp, CRM or accounting software. It works from answers and rules you approve, and it knows when to stop and hand over to a person. In short, it takes repeat conversations and tasks off your team, inside the tools they already use, and hands the rest back to them.
It is not a legal employee, and it carries no responsibility. A named person still owns every result it produces. It is not magic either. It does well on work that repeats and badly on work that needs judgement nobody has written down.
| Term | What it does | Good for | Limits |
|---|---|---|---|
| Rule-based automation | Runs fixed steps when a trigger fires | Moving data between systems, sending set messages | Breaks when the input does not match the rule |
| Chatbot | Answers questions in a conversation | Common questions, opening hours, order status | Often answers only, without acting in your systems |
| AI agent or AI employee | Understands a request, decides the next step and acts in your systems, within limits | Bookings, confirmations, follow-ups, first-line support, document checks | Needs approved answers, permissions, logs and a route to a person |
The idea is familiar in the UAE. DEWA introduced Rammas, which it calls a virtual employee, in 2017 to answer customer enquiries in Arabic and English. The National Strategy for Artificial Intelligence 2031 lists AI in customer services among its objectives, and in 2026 the UAE Cabinet set a plan to move half of government sectors, services and operations to agentic AI, meaning AI that carries out tasks rather than only answering questions, within two years. For smaller firms, an OECD report in April 2026 described AI agents automating multi-step work such as managing bookings, invoices and marketing campaigns.
How to choose your first AI use case
The best first project is rarely the most exciting one. It is the one that happens often, follows the same steps, is cheap to get wrong and is easy to measure. Score each candidate task on six questions, from 0 to 2.
| Question | Scores 2 when | Scores 1 when | Scores 0 when |
|---|---|---|---|
| Volume: how often does it happen? | Dozens or hundreds of times a day, or in bursts nobody can staff, such as after hours | Every day | A few times a week |
| Repetition: is it the same each time? | Same questions, same steps, a few possible outcomes | Same shape, frequent exceptions | Every case is different |
| Rules: are the right answers written down? | Approved answers or scripts exist, or can be written in a day | Partly written | It lives in one person’s head |
| Risk: what if the AI gets one wrong? | Minor, easy to correct and logged for review | A customer is annoyed and a person fixes it the same day | Money moves, or the AI would give health, legal or financial advice or decide on hiring |
| Data: can the AI read and record what it needs? | It can read and write the CRM, calendar, order or ticket system | A list or spreadsheet export | Scattered, or on paper |
| Measure: can you count success? | You know today’s number and can count the outcome of each contact | You can count the outcome but have no baseline | No baseline and a vague goal |
Add up the scores. A first use case should usually reach 9 or more out of 12, with Risk and Measure both at 2.
Three gates every use case must pass
- The rules gate. Is it marketing to individuals? Then the UAE telemarketing rules apply. Is it a broker calling Dubai property owners who did not contact you or agree to be contacted, for example through the DLD’s Green List? Then it is not allowed. Does it touch health, banking or employee data? Sector rules apply. All of it involves personal data, and consumer protection law also restricts using customers’ data for marketing, so build outreach lists only from customers who opted in. Whatever the call, open by naming the company, saying the caller is an AI assistant and mentioning the recording, and offer a person. Our voice AI guide covers the rules for each type of call, and our AI call centre guide shows what they mean at volume.
- The people gate. A named person or team receives every handover, exception and complaint within a set time, and there is a back-up plan for when nobody is available.
- The owner gate. One manager owns the result, signs off the approved answers and reviews a sample of conversations every week.
| Idea | Score out of 12 | Gates | Decision |
|---|---|---|---|
| Answer after-hours calls and log every enquiry | 11 | Pass: inbound, not marketing | Good first project |
| Confirm tomorrow’s appointments and offer a new slot | 12 | Pass; clinics also follow health-data rules | Good first project |
| Phone every owner in a Dubai building to ask if they will sell | 7 | Fails the rules gate | Do not do it. Call your own past enquirers instead (see real estate below) |
| Approve supplier invoices for payment | 8 | Money moves | AI matches and prepares; a person approves |
| Screen applicants for a warehouse role | 7 | A hiring decision | AI schedules and asks set questions; a person decides |
AI use cases by department
Running a brokerage, a clinic or an online shop? Jump to real estate, clinics or cash on delivery, then come back to the department you want to start with.
These are practical uses, not reported results. Each row says what the AI does, what a person still does and how to tell whether it works. Some run on the phone, WhatsApp or web chat. Others run in the back office with no customer conversation at all. Most departments will find two or three that score well.
xAIa builds the phone and WhatsApp use cases below as voice AI employees and on its conversational AI platform. It scopes the back-office ones, such as invoice matching or a first pass on contracts, as custom deployments around your own systems.
AI in sales
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Reply to new enquiries in minutes | Calls or messages each new web, portal or WhatsApp enquiry, asks the qualifying questions you set and arranges a meeting. Outside 9 am to 6 pm it replies by message and calls the next morning, unless the person asked for a call straight away | Selling, pricing and negotiation | Time to first contact; meetings booked per 100 enquiries |
| Follow up past enquirers who agreed to be contacted | Asks whether they are still interested and what has changed, and updates the record | Talks to the people who are interested | Share reached; share still in the market |
| Confirm meetings and viewings | Confirms, moves or cancels the day before | Changes outside its rules | Show rate |
| Fill the CRM after calls | Writes the call summary and fills in the fields | Checks a sample | Share of complete records |
| Chase open quotes | Sends a reminder and answers simple questions on an open quote | Changes the terms | Quotes answered; days to a decision |
| Reorder calls to trade customers | Calls each shop or pharmacy on its set day, reads back the usual order, takes changes and puts a draft order in the ERP | Releases the order, sets prices and credit, handles new products | Orders taken on time; order errors |
AI in marketing
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| First drafts in Arabic and English | Drafts posts, emails and product descriptions from your brand guide and product data | Edits, checks every claim and approves | Time per piece; edits needed |
| Event confirmations and reminders | Confirms attendance, sends directions and offers another date | VIP guests and special requests | Attendance rate |
| Answer replies to a broadcast | Answers questions from people who replied to an opted-in WhatsApp message | Sales conversations | Replies answered; leads passed to sales |
| Brand and campaign surveys | Asks three to five fixed questions | Reads the themes and acts on them | Completion; usable answers |
Drafting is where most firms start, and with reason. In a 2023 experiment published in Science, professionals using ChatGPT finished writing tasks about 40% faster and their work was rated higher. The study did not check facts, and the AI does not either, so a person signs off every claim.
AI in customer service
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| AI receptionist on the main number | Picks up, answers from approved information, logs each call and passes on what it cannot handle | Takes transfers and keeps the answers current | Answered rate; calls resolved; correct transfers |
| WhatsApp and web chat first line | Answers from approved information and checks order or booking status where connected | Complex and sensitive cases | Questions resolved; time to first reply |
| After-hours capture | Logs every enquiry with a callback time | Calls back the next morning | Enquiries captured after hours |
| Complaint intake | Takes down the complaint on a fixed form and sends it to the right team | Resolves it | Time to reach the right person |
| Quality review of human calls | Summarises calls and checks them against the script | Coaches the team | Share of calls reviewed |
The strongest evidence for AI in service is about helping people, not replacing them. A study of 5,179 customer support agents, published by the US National Bureau of Economic Research, found that an AI assistant raised issues resolved per hour by 14% on average and by 34% for newer, less experienced agents. Customers want a way out too. A Gartner survey released in July 2024 found that 64% would prefer companies not to use AI in customer service, and their top worry was that reaching a person would get harder. Keep that route short.
For WhatsApp in Arabic, our Arabic chatbot guide covers dialects, Arabizi and what Meta allows.
AI in HR
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| First screening call for high-volume roles | Asks every applicant the same job-related questions, such as availability, location and shift, and records the answers | Decides who goes forward and checks for bias | Days from application to interview |
| Interview scheduling | Books, confirms and moves interview slots | Runs the interviews | Scheduling time; no-shows |
| Staff questions | Answers leave, policy and document questions from the handbook | Sensitive and individual cases | Questions answered without a ticket |
| Onboarding paperwork | Reminds new joiners which documents are still missing | Approves the documents | Days to complete onboarding |
| Staff surveys across shifts | Runs a short structured survey by phone | Owns the results and the follow-up | Completion by site and shift |
We found no UAE law written specifically for AI in hiring yet, but the general rules apply. The Labour Law (Federal Decree-Law No. 33 of 2021) bans discrimination on grounds such as race, colour, sex, religion, national or social origin and disability, whoever or whatever screens the applicant. The data protection law gives people the right to object to significant decisions made by automated processing, and DIFC and ADGM have their own rules. Use AI to organise, schedule and summarise, and keep a person responsible for every hiring decision. This is a summary, not legal advice. Our voice AI guide covers staff surveys in more depth.
AI in finance
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Payment reminders | Checks it has the right person, states the amount due, records a promise to pay and resends the invoice | Disputes, hardship, payment plans and legal steps | Days to collect; promises kept |
| Invoice capture and matching | Reads supplier invoices and matches them to the purchase order and delivery note, flagging mismatches and duplicates | Approves every payment | Invoices processed a day; duplicates caught |
| Statement reconciliation | Compares supplier statements with the ledger and lists the differences | Resolves the differences | Time to reconcile |
| Expense checks | Checks receipts against the expense policy | Approves exceptions | Claims checked; breaches found |
| Month-end commentary | Drafts the commentary from the figures | Reviews and signs off | Days to close the month |
For banks, insurers and finance companies, the Central Bank’s telemarketing rules govern sales calls: customers must have agreed in advance to be called by an AI agent, and the rules extend to outside firms calling for them. Reminder and collection calls may fall under other Central Bank consumer protection rules, so plan them with your compliance colleagues. For most other businesses, reminders to business customers about invoices they already owe are the simple place to begin.
AI in operations and logistics
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Cash-on-delivery confirmation | Before dispatch, confirms the order, address, delivery window and cash amount, and records cancellations | Address problems and disputes | Orders confirmed before dispatch; failed deliveries |
| Delivery and technician visit windows | Confirms the slot, gives the window and records access notes | Reschedules exceptions | Missed visits |
| Fault and maintenance requests | Logs faults day and night and gives status updates | Dispatches and fixes | Faults logged; status calls handled |
| Demand and stock forecasts | Forecasts from sales history | Decides what to order | Stock-outs and overstock |
| Procedures assistant | Answers staff how-to questions from your written procedures | Keeps the procedures up to date | Questions answered |
AI in IT
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Service desk first line | Logs tickets in a set form, answers how-to questions and starts password resets through your identity system’s own check, such as an approval on the person’s registered phone. It never asks for a code or password in the conversation | Incidents and access approvals | Tickets solved at first line; time to resolve |
| Ticket triage | Sorts and routes tickets | Works the tickets | Tickets routed right first time |
| Device and licence reminders | Reminds staff to enrol devices, update them and renew licences | Fixes failures | Devices up to date |
| Access request intake | Collects the details an approver needs | Approves access | Time to grant access |
IT also owns the rules for AI itself: which AI tools staff may use, with what data, and who reviews what the agents do. Our post on governance for AI agents and automated workflows covers oversight of the agents, and our guide to approving Adobe’s AI features at work shows what an approval looks like for one common tool.
AI in procurement
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Supplier documents | Collects trade licence, VAT and insurance documents, tracks expiry dates and chases renewals | Approves suppliers | Share of suppliers with valid documents |
| Quote deadline reminders | Reminds suppliers of quote deadlines and answers set questions | Chooses the supplier | Quotes received on time |
| Order acknowledgement and delivery dates | Confirms each order was received and records the promised date | Escalates late deliveries | Confirmed dates; late deliveries |
| Quote comparison | Puts quotes side by side in one format | Makes the decision | Time to compare |
AI in legal and compliance
| Use case | What the AI does | What a person does | How to measure it |
|---|---|---|---|
| Call compliance review | Checks recorded calls for required statements, such as the company name, the purpose and the recording notice | Reviews flagged calls and coaches | Share of calls reviewed; breaches fixed |
| Outbound list hygiene | Removes Do Not Call Registry numbers, opt-outs and people called too often | Signs off the list | Complaints; opt-outs honoured |
| Contract first pass | Flags clauses that differ from your approved positions | A lawyer decides | Time to first review |
| Policy questions | Answers staff questions from approved policies | Interprets grey areas | Questions answered |
According to xAIa, its ComplAI platform is built for the first of these: it checks recorded calls against the obligations you set and keeps an auditable record of each one. Your compliance owner stays responsible.
AI use cases by industry in the UAE
| Industry | Practical ideas | Rule to check first |
|---|---|---|
| Real estate | Reply to portal and WhatsApp enquiries in minutes, follow up past enquirers who agreed to be contacted, confirm viewings, remind tenants about renewals | Dubai bars brokers from cold-calling owners; property ads there, including listing details sent by message, need a Trakheesi permit |
| Clinics | Booking, rescheduling and reminders, insurance details before the visit, an after-hours line | Health data stays confidential and in the UAE; confirm the patient’s identity first; no medical advice; no promotions without written consent |
| E-commerce | Cash-on-delivery confirmation, delivery windows, failed-delivery rebooking, return pickups | Not marketing unless an offer is added; order data is personal data |
| Hospitality and restaurants | Reservation confirmations, pre-arrival questions, in-stay requests on WhatsApp, post-stay surveys | Offers to guests follow the telemarketing rules |
| Collections | Reminders to business customers; consumer reminders for lenders | Central Bank rules for banks and finance companies: check which apply to reminder calls |
| Facilities management and utilities | Fault logging and status updates, day and night | Identity check before account details |
| Schools and training | Admissions enquiries, open-day reminders, fee reminders | Children’s and parents’ personal data; open-day calls to families who have not registered are marketing calls |
| Surveys and research | Satisfaction, after-service, event feedback and market research with fixed questions | A survey that turns into an offer becomes a marketing call |
Real estate: calling at scale within the rules
One of the first ideas owners raise is mass calling: let AI phone hundreds of people at once. Technically it can, up to the number of phone channels you have, because each call is a separate conversation. Legally, who you call decides everything. Dubai is strict here. Circular No. 02 of 2026 from the Land Department forbids brokers to cold-call owners; they may reach owners only through routes the DLD permits, its Green List being one, so WhatsApp messages need the same care. RERA has acted before: in 2022 it fined one brokerage AED 50,000 and suspended nine brokers over cold calls. On top of that, the federal telemarketing rules (Cabinet Resolution No. 56 of 2024) cover any marketing call to a consumer. Other emirates set their own rules, so ask your regulator.
Where AI calling at scale does fit is your own pipeline: past enquirers who opted in to further contact, people who asked for a callback, viewing confirmations and tenants due to renew. When those calls offer a property, they are still marketing calls, with the approval, Do Not Call screening, 9 am to 6 pm window and retry limits that come with them. A voice agent can work through a long list within one calling window, ask who is still in the market and pass the interested people to one of your brokers with their answers attached. How many calls you can make depends on how many people have opted in. Our AI call centre guide shows how to size the lines, and our real estate and facilities management guide looks at inbound answering and viewing bookings.
Surveys and research calls
Phone surveys suit AI when the questions are fixed. A 2025 study of an AI telephone survey system found its data quality approached that of human interviewers on structured questions, while its follow-up probing was more limited. So use AI for satisfaction scores, after-service checks, event feedback and staff surveys with set answers, and keep open-ended research with people. A survey that ends in an offer is a marketing call, with the rules that come with it.
Hypothetical example. The day after each air-conditioning service visit, a voice agent calls the customer, introduces the company and itself as an AI assistant, then asks three questions. It records the scores in your CRM and books a same-day callback from a supervisor for any score of 1 or 2. You measure completion and how many poor scores were followed up. Our voice AI guide walks through survey campaigns.
Cash on delivery: confirm before you dispatch
Many online sellers that accept cash on delivery confirm each order before it leaves the warehouse, because a refused parcel costs two trips and earns nothing. A voice agent or WhatsApp assistant can confirm the order, the address, the delivery window and the cash amount, record cancellations and flag address problems. Decide in advance what happens when nobody answers, for example one call, then a WhatsApp message, with the order held until a set cut-off. Count the orders that end unconfirmed as well as the parcels refused at the door, so you can see whether the step pays. A pure confirmation markets nothing. Add an upsell to the same call and it becomes a marketing call.
Clinics: appointment reminders and rebooking
A 2013 Cochrane review found, from a small number of studies, that text reminders improve attendance at healthcare appointments and work about as well as phone call reminders, at lower cost. So send texts first, and use a voice agent for what a text cannot do: rebooking a missed appointment, moving a slot, or reaching patients who do not read messages.
Health data must be kept confidential, and the law requires it to be stored and processed inside the UAE unless an exception applies. That covers the AI platform too, so ask where the call is processed, and not just where the recordings sit, and get the answer in writing. Before it mentions any appointment details, the agent checks it is talking to the patient, and patient lists are not used for promotions without the patient’s written approval. Clinics regulated by the DHA in Dubai or the DOH in Abu Dhabi have their regulator’s standards to follow as well. xAIa reports a healthcare operator whose calls and WhatsApp messages its AI employees answer day and night.
Ideas you can start implementing this month
Each of these should score well on the method above, needs little integration to begin with and can be measured within weeks.
- Put an AI receptionist on after-hours calls only. It logs every enquiry with a callback time, and your team calls back in the morning.
- Answer your top 30 WhatsApp questions from approved text, with a person on hand for the rest.
- Confirm tomorrow’s appointments, viewings or deliveries the day before, and offer a new slot to anyone who cannot make it.
- Confirm cash-on-delivery orders before dispatch, and record every cancellation with its reason.
- Call last month’s no-shows and offer to rebook.
- Run a three-question survey after every completed job, with a callback for any poor score.
- Turn every sales call into a CRM summary that the salesperson checks.
- Remind business customers about payments three days before the due date.
- Let staff ask an HR assistant questions about the handbook, with HR handling anything personal.
- Chase expiring supplier documents, such as trade licences and insurance certificates.
- Draft bilingual product descriptions for a person to review.
- Follow up unanswered enquiries older than a week, where the person agreed to be contacted.
Before you start any of them, write down today’s number: missed calls a week, the no-show rate, days to collect, hours spent. Without it, you cannot show what the AI changed.
xAIa’s delivery method aims to put any one of these into production within 30 days. Tell us which one scores highest for you.
Running call work on AI agents instead of adding seats
Several of the ideas above are phone work. Once two or three of them are running, the next question is whether you need a bigger call centre at all. If most of your calls are routine, you may be able to absorb growth with voice agents rather than new hires, and keep your team for complaints, exceptions and judgement calls. Whether that holds for your business depends on your calls, so measure it in a pilot rather than assume it. Our guide to running an AI call centre shows how to size the phone lines, calculate cost per completed outcome and test a voice agent on your own number.
A 90-day plan to start using AI
| When | What your business does | What xAIa does | What you have at the end |
|---|---|---|---|
| Before day 1 | Lists five to ten candidate tasks, scores them, picks one, names its owner, gathers the approved answers, checks the rules gate and starts recording today’s numbers, ideally for two to four weeks, carrying on through the build if needed | An assessment call, if you want one | One chosen use case, with the baseline under way |
| Days 1 to 30 | Agrees what the AI may say and must never say, the fields every conversation must record and who takes handovers; briefs the team; asks the phone company in good time for extra channels, a test number or firewall changes; in week 4 runs the test calls from our AI call centre guide and signs off the pass levels | Scoping, then design of the flows, integrations and telephony, build, tests and dry runs, and go-live by day 30 | A live AI employee on one workflow |
| Days 31 to 60 | Starts with part of the volume, such as after hours or one list; reads transcripts every day for the first week and weekly after that; fixes gaps in the answers | 30 days of close support, which xAIa calls hypercare | The first weeks of live results |
| Days 61 to 90 | Compares with the baseline, works out cost per completed outcome, decides to widen, change or stop, and scores the next use case | Tuning, and scoping of the second use case | A one-page result and the next project |
Thirty days to production is xAIa’s stated target; the real time depends on your phone system and the integrations involved. The delivery steps are on our AI Solutions page. At day 90, show five numbers: the baseline and today’s figure for the chosen outcome, the share of handovers that reached a person, complaints and opt-outs, data accuracy from a sample a person checked, and cost per completed outcome. That last one means total spend for the period divided by the number of outcomes done right; our AI call centre guide shows how to work it out.
What AI should not do on its own
Some decisions need a person every time, however good the AI. In a field experiment with 758 consultants, AI help improved results on tasks within the AI’s ability but made answers less accurate on a task beyond it. The safe pattern is the same in every department: the AI prepares, summarises or routes, and a person decides. Keep these with a person:
- Deciding who is hired, promoted or let go.
- Approving or sending payments.
- Medical, legal or financial advice.
- Agreeing prices, discounts, refunds or settlements outside written limits.
- Complaints that need discretion.
And some things should not be done at all, whether a person or an AI makes the call:
- Brokers cold-calling Dubai property owners who did not contact them or agree to be contacted.
- Marketing calls to people who said no, or whose numbers are on the Do Not Call Registry.
- Promising anonymity in a survey that records phone numbers.
- Judging emotion, honesty or performance from someone’s voice.
- Accepting a voice that sounds familiar as proof of who someone is, or asking for passwords and one-time codes.
What changes for your team
Will AI replace your staff? The research so far points to tasks changing more than jobs disappearing. A 2025 study of generative AI and jobs by the ILO, the UN’s labour agency, found clerical work the most exposed, and concluded that most jobs are more likely to change than to disappear. In the customer support study above, the biggest gains went to newer staff.
In practice, the people who answered routine calls take the handovers, deal with the exceptions, keep the AI’s answers up to date and check samples of its work. Someone owns each AI employee the way a manager owns a team. Define those roles before launch, and tell staff early what will change and what will not.
How to start with xAIa
PRO TECHnology’s AI Solutions division works with xAIa to put AI employees to work for businesses across the UAE. Here is what xAIa offers, and where each part fits in this guide:
- Voice AI employees: reception, sales follow-up, confirmations, reminders and surveys by phone, inbound and outbound.
- The conversational AI platform: WhatsApp and web chat for customer service, sales replies and order status.
- Agentic AI governance: policy, oversight and audit trails for AI across departments.
- ComplAI: compliance review of recorded calls, for legal and compliance teams.
- Custom AI deployments: back-office work such as invoice matching, document checks and internal assistants, built around your own systems.
xAIa’s agents speak Arabic and English, and xAIa says they cover more than 90 languages, Gulf dialects included. It aims to reach production in 30 days and then supports the first month live closely. In one published example, xAIa says one of its real estate clients reaches over 3,000 leads daily, by phone and on WhatsApp. On 22 October 2026, xAIa’s website put its count of production calls above 1.5 million. Our page on AI employees for every department sets out the full offer.
The easiest way to judge it is to hear it: phone PRO TECHnology on +971 4 343 5501 and an AI receptionist answers.
Disclosure: xAIa is part of the PRO TECHnology Group. Other companies, products, researchers, regulators and organisations appear on this page as sources or to explain the market; that is not an endorsement. The scored examples are hypothetical.
Frequently asked questions
How can I optimise my business using AI?
Start with the work, not the tools. List tasks that happen many times a day, follow the same steps and end in a result you can count, such as answering calls, confirming bookings or chasing payments. Score them, pick one, record today’s number and pilot it for 30 to 60 days.
How can AI help a small business in the UAE?
Mostly by covering work there is nobody to do: answering calls after hours, replying to WhatsApp questions, confirming appointments and deliveries, and sending payment reminders. A small business can often start with one of these without changing its systems.
What is an AI employee?
An AI agent with one defined job, access to the systems that job needs, approved answers and rules for handing over to a person. It is not a legal employee, and a named person stays responsible for its work.
Which department should start with AI first?
Usually the one with the most repetitive customer contact: customer service, sales follow-up or bookings. Score the candidate tasks; the task matters more than the department.
What AI ideas can a business start this month?
Low-risk tasks you can measure within weeks: an AI receptionist for after-hours calls, answers to your top WhatsApp questions, confirmations the day before, cash-on-delivery checks, no-show rebooking and payment reminders to business customers. Record today’s number first.
Will AI replace staff in our company?
Research so far points to tasks changing more than jobs disappearing, with clerical work the most exposed. Routine calls and data entry shrink; handovers, exceptions, quality review and owning the AI’s answers grow.
How much data do we need before using AI?
Less than most people think. You need approved answers for the task and access to the system it uses, such as the calendar or CRM. A large data project is not a precondition for a first use case.
Can AI agents call customers to confirm cash-on-delivery orders?
Yes. A voice agent or WhatsApp assistant can confirm the order, address, delivery window and amount before dispatch. Keep it a confirmation: adding an offer turns it into a marketing call.
Can AI send payment reminders by phone or WhatsApp?
Yes, starting with business customers and invoices they owe. The AI confirms it has the right person, states the amount and records a promise to pay; disputes and hardship go to a person. Banks and finance companies should first check which Central Bank rules apply to reminder calls.
Can we use AI for mass calling in real estate?
Yes, for your own pipeline: past enquirers and people who agreed to hear from you. A call that offers them a property is still a marketing call, so the telemarketing rules apply: approval, Do Not Call screening, 9 am to 6 pm and retry limits. In Dubai, brokers may not cold-call property owners, so mass calling owner lists is not allowed whether a person or an AI dials. This is a summary, not legal advice.
Can AI help HR screen job applicants?
It can ask every applicant the same job-related questions, book interviews and summarise the answers. A person decides who goes forward, because labour law bans discrimination and the data protection law lets people object to significant automated decisions.
How do we measure whether an AI use case is working?
Record today’s number before you start, then compare: the outcome rate, handovers that reached a person, complaints and opt-outs, data accuracy from a checked sample, and cost per completed outcome.
Do we need to change our CRM before using AI agents?
Usually not. Agents work best when they can read and write your existing CRM, calendar or ticket system. Check that an integration exists for yours before the pilot.
Can one AI agent work on the phone and WhatsApp?
Yes, where the platform supports both. xAIa reports clients running voice and WhatsApp together, such as a healthcare operator answering every call and WhatsApp message. Check in your pilot that the conversation history carries across channels.
