Voice AI for UAE Businesses: AI Receptionists, Outbound Calls and Surveys

Voice AI is software that holds a spoken conversation on a phone line. For a UAE business it can answer the main number, make follow-up and survey calls, and collect structured staff feedback, then hand anything it should not handle to a person. It is delivered by xAIa, the AI arm of PRO TECHnology Group.

Key takeaways

  • An AI receptionist answers, gives approved answers, captures details, books or logs where systems are connected, and transfers to a person when needed.
  • Judge outbound campaigns on completed outcomes, not calls dialled.
  • UAE sales calls to consumers fall under Cabinet Resolution No. 56 of 2024. Automated systems are permitted under its rules, not exempt from them.

How does an AI receptionist work on your existing business number?

Most businesses lose calls at predictable moments: after closing, at lunch, and when every line is busy. An AI receptionist covers them on the number customers already know.

  1. The customer calls your usual number.
  2. The AI answers and asks how it can help.
  3. It works out what the caller needs.
  4. It gives an approved answer, or takes the caller's details.
  5. It books, logs or routes the request, where systems are connected.
  6. It transfers to a person when needed, with a summary.

This is not a recorded greeting or a “press 1” menu. A recording cannot answer a question, and a menu makes callers fit your structure. A voice agent responds to what was actually said, as xAIa explains in voice AI compared with IVR menus.

Can you keep your number? Often, yes. Our clients run AI reception on their existing numbers, and our own main line, +971 4 343 5501, is answered by one. It is not automatic. It depends on your telephone system, provider and call routing. xAIa connects agents through an existing SIP trunk, PBX or contact centre platform, as set out in connecting voice AI agents to UAE phone numbers. We check compatibility first.

Which outbound calls and customer surveys are worth automating?

Outbound voice AI suits calls with a clear purpose, a short script and a defined next step. For each campaign below: what the AI asks, what it records, what happens next.

Following up an information request

Asks what the person needs. Records the answers and a contact time. Interested people go to a named salesperson.

Confirming appointments or attendance

Asks if the person is coming and offers another slot. Records confirmed, moved or cancelled, and updates a connected calendar.

Asking about a completed service

Asks a few fixed questions and one open one. Records scores and comments. A poor score creates a callback task.

Updating customer requirements

Checks that details and preferences are current. Records changes for your CRM. Unclear answers are flagged, not guessed.

Property-interest survey

Asks about location, property type, budget and timeline. Each answer is stored as a field for the sales team.

Finding who wants a human callback

Asks one clear question and takes a convenient time. The output is a callback list with context.

Judge each campaign by completed outcomes: appointments confirmed, surveys finished, records updated. Calls dialled is activity, not a result.

A real estate example. A developer wants to know which past enquirers are still in the market. The agent asks about location, property type, budget, buying timeline, and whether the person would like to speak to an agent. Those who say yes go to the sales team with their answers attached. xAIa reports a real estate client reaching more than 3,000 leads a day across voice and WhatsApp. Our guide to voice AI for real estate and facilities management covers the sector.

Why scale is possible. A person makes one call at a time. A voice agent holds many conversations at once, so a long list can be worked in one campaign window. The ceiling is your line capacity, the permitted calling hours and how many people pick up.

Cold sales calls are a separate category. A requested callback, a genuine research survey and an unsolicited sales call are three different things. Calling a sales campaign a “survey” does not change what it is. If a call promotes a product or ends in a pitch, treat it as marketing.

Can voice AI collect employee feedback across a large company?

Yes, as a structured survey. The example below is hypothetical.

Example: a company with 10,000 employees. Staff work across several sites and three shifts, and many have no company email. HR wants feedback on onboarding, training, internal services and workplace processes.

HR announces the survey and explains what will be recorded. The agent calls each employee at a time that suits their shift, or staff call a survey number. It asks the same fixed questions, plus one open question.

Possible outputs are completion status by site and shift, structured answers, recurring themes from open comments, and a list of follow-up requests. The actual outputs depend on how the survey is built.

A voice survey reaches staff who are rarely at a desk, across sites and shifts.
  • Participation. Make it voluntary, say so on the call, and offer another way to respond.
  • Anonymity. Do not promise it if phone numbers, recordings or identifiable transcripts are kept. Say what is stored and who can see it.
  • No voice analysis. Record what staff say. Do not infer emotion, honesty or performance from how they sound.
  • Sensitive matters. Harassment, safety and grievances need a human reporting route, which the agent should give.

Can voice AI replace a call centre?

It can replace defined routine telephone workflows and reduce manual calling. How much depends on the scope and on measured performance. It does not replace every department or employee.

People remain necessary for exceptions, complaints that need discretion, negotiation, sensitive situations, and any call where the agent is uncertain. A good deployment makes that handover quick and measures how often it happens.

What should you settle before you buy?

  • Approved knowledge and limits. The agent answers from content you have signed off, with a list of things it must not say or promise.
  • Your number and telephone system. Confirm the route early: SIP trunk, PBX or contact centre platform.
  • Languages on real calls. xAIa states that its agents speak more than 90 languages, including Gulf Arabic dialects, and follow callers who switch between Arabic and English. Test that on your own callers, not a demo script.
  • CRM, calendar or helpdesk. Bookings and tickets depend on integrations. Ask whether the agent can write to your systems or only read.
  • Transfer and fallback. Decide who receives transfers, and what happens when nobody is free.
  • Summaries and structured results. Agree the fields you need from every call.
  • A pilot with success criteria. Pick one workflow and set the measures first.

Useful measures: enquiry capture, completed bookings, survey completion, correct transfers, data accuracy and cost per completed outcome. Record today's figures first. More detail is on our Enterprise AI page and on the xAIa voice AI solutions page.

Which UAE rules apply to AI calls?

The rules depend on the kind of call, not on whether a person or software makes it. This is a summary, not legal advice.

  • Inbound enquiries. The customer called you, so telemarketing rules are not the issue. If calls are recorded, say so, and treat recordings and transcripts as personal data.
  • Sales campaigns to consumers. Cabinet Resolution No. 56 of 2024, in force since 27 August 2024, covers companies licensed in the UAE, including free zones. It requires prior approval from the competent authority, local numbers registered under your trade licence, and screening against the Do Not Call Registry. Calls are allowed only from 9:00 am to 6:00 pm. The caller must name the company and purpose, say the call is recorded, and ask whether the person wishes to continue. Anyone who declines is not called back. An unanswered number may be tried once a day, twice a week at most. Article 5 permits automated systems under the same conditions.
  • Customer research. The resolution defines telemarketing as calls that market, advertise or promote. A survey that leads into an offer does that, so keep research and sales scripts separate.
  • Employee surveys. These are internal, not telemarketing. Employee numbers, recordings and transcripts are still personal data.

Personal data is governed by the Personal Data Protection Law, Federal Decree-Law No. 45 of 2021, which is built on consent, with listed exceptions. DIFC and ADGM have their own data laws. xAIa gives a fuller account in voice AI and the TDRA, DNCR and PDPL rules. Confirm your position with your legal adviser and licensing authority.

Frequently asked questions

Can an AI receptionist answer our existing UAE business number?

Often, yes. The agent connects through your SIP trunk, PBX or contact centre platform. It depends on your telephone system, provider and routing, so it is checked first.

Can voice AI replace our call centre?

It can replace defined routine workflows. People are still needed for exceptions, complaints, negotiation, sensitive situations and calls the agent is unsure about.

Can it handle several calls at the same time?

Yes. Each call is a separate conversation, so callers do not queue. The practical ceiling is line capacity: a trunk with 30 channels carries 30 calls at once.

Can it speak Arabic and English and handle callers switching languages?

xAIa states that its agents speak more than 90 languages, including Gulf Arabic dialects, and follow callers who switch mid-call. Test it with your own callers in a pilot.

Can it make outbound calls and conduct customer surveys?

Yes. It can follow up enquiries, confirm appointments and run structured surveys. Sales calls to consumers must follow the UAE telemarketing rules.

Can it survey employees across a large company?

Yes, as a structured survey across sites and shifts. Tell staff what is recorded, and do not call it anonymous if numbers or recordings are kept.

What happens when a caller asks for a person?

The agent transfers the call with a summary. If nobody is available, it follows your fallback: a callback task, a message to the team or an on-call number.

Can call results go into our CRM or reporting system?

Where an integration exists, yes. xAIa lists CRM, helpdesk, calendar and billing connections, plus webhooks. Confirm your platform and fields before the pilot.

How is pricing calculated?

xAIa describes it as a subscription that keeps the agents live, with usage on top. It is quoted once the workflow, volume, languages and integrations are scoped.

How can we test it before rolling it out?

Call the PRO TECHnology AI receptionist on +971 4 343 5501. Then pilot one workflow with agreed measures. xAIa gives 30 days from pilot to production.
